You really need strong passwords with capital letters and special characters whatever it is to make it hard to guess.
If you have set people’s passwords to be the same one in the business as well it’s a massive risk because email address is a common login item now and if you’ve got the same passwords you can easily get into other people’s email accounts and business system so it’s really really a big deal.
You want to share your keys with other people like you didn’t trust with you and it’s the same thing with your system security rotating passwords as well make sure that you’re rotating your passwords regularly every month every three months to make sure that if someone did get a password it’s no longer in use anymore.
If people leave your business do you block their account straightaway through office 365 or G Suite? Do you change their passwords? Do you remove the licenses? Yes we take the fobs and phones off people and all that kind of stuff, you should handle your business security in the same robust rigorous way that you handle your actual business systems security
The beauty of the being cloud-based is you can access them anywhere the downside of a big cloud-based is that you can access them anywhere. So actually if someone leaves and they still got access to your system they could be anywhere looking at your customers, your orders, your products, your transaction history, your emails, whatever it might be.
